Getting documents from clients is still the biggest workflow issue.
Financial Cents surveys of accounting firm owners rank chasing clients for documents at the top of the workflow list. The 2025 report calls getting documents from clients the biggest workflow issue. In the 2024 report, 65.2% of respondents named it their biggest workflow challenge, and 53.8% had said the same the year before. A 2023 survey of 132 firm owners ranked it second among the challenges of leading a team.

Progress Software’s 2026 State of Client Collaboration survey (355 firms) found that professional services firms spend nearly 20 hours a week on client coordination and lose a median of roughly $60,000 per year in non-billable work.

The messy thread

Sorry — which statements did you need again?

One checklist
- Prior-year returnReceived
- W-2s and 1099sNeeded
- Profit and lossNeeded
- Bank statementsNeeded
Same request. The client and the firm are looking at one list, and the status changes when a file arrives.
How it works
01
Start from a template
Tax return, month-end bookkeeping, client onboarding, or an AML/KYC list you edit yourself.
02
Send a magic link
The client opens a branded checklist. There is no password to reset in April.
03
Remind only what’s missing
Follow-ups list the open items. Received files drop off. Reminders stop when the request is complete.
04
Review the packet
Accept or reject each file. Download with a short-lived link. The audit log records who did what.
What you get in this version
- Magic-link portal
- Clients upload from a phone or a desk. The link is the credential. You can revoke it by not sharing it again.
- Auto-pausing reminders
- Emails list only pending and rejected items. A received file is not nagged. A complete request goes quiet.
- Real-time missing items
- Every request is pending, partial, complete, or overdue. You don’t rebuild the status from your sent folder.
- Templates for the work you already do
- Tax, bookkeeping, onboarding, and AML/KYC lists. Copy them, rename them, and send them as a request.
- Works beside the tools you keep
- DocHerd does not replace your practice suite. Files download out. Your binders stay where they are.
Recover 5–10 hours per week
Replace this line with a number you measured. It is not a researched industry statistic.
“We stopped forwarding the same list every Tuesday.”
“Clients actually finish the checklist on their phone.”
“I can see what’s missing without opening the thread.”
